This position will provide administrative support to the VP, Corporate HR Risk Management Office and her team. 

This position requires an individual who is highly organized, has exceptional written and verbal communication skills, and is able to handle highly sensitive information and multiple projects simultaneously under tight deadlines. This candidate should also be dependable, have initiative and be proactive, i.e., recommending creative solutions that can improve processes and workflow. In addition, the individual will be highly motivated and interested in learning new subject matters. Responsibilities will include:

Full range of administrative support: 
--Handle telephone and/or written contact with internal and external associates both at the staff and executive level. 
--Extensive scheduling of meetings, including arranging conference rooms and setting up conference calls, as well as preparing meeting materials. 

Ongoing support to Risk Management Team’s outputs, including: 
--Preparing documents in Word, spreadsheets in Excel, and presentations in PowerPoint; 
--Assisting in the preparation of monthly and/or quarterly reports; 
--Compiling and providing basic analysis of information; 
--Responsibility for maintaining key databases, such as the Horizon database and the Company’s issues tracking database 
--Routinely following up on issues and action plans with owners as needed. 
--Open and distribute mail, including high priority and follow-up items. 
--Arrange travel arrangements. 
--Perform paymaster responsibilities, including attendance records and paycheck distribution. 
--Provide other general administrative support such as filing, preparing general and travel expense vouchers, ordering office supplies, photocopying.
Required Skills and Experience:

--At least 5 years of administrative assistant experience 
--Superior proficiency of Microsoft Office applications (Word, Excel, and PowerPoint), and Lotus Notes, 
especially the calendar function 
--Excellent organizational skills 
--Strong communication skills (both written and verbal) 
--The ability to prioritize effectively 
--Excellent proofreading skills
--Strong attention to detail 
--Experience in a complex, fast-paced work environment 
--A professional disposition 

In addition to the requirements above, the successful candidate must be able to work independently with minimal supervision and work under tight time constraints. He or she will also exhibit the ability to operate in a team environment, work well with other administrative and professional staff, and interact effectively with senior leadership. It is essential for the successful candidate to be able to remain calm under pressure and be flexible as priorities continuously change. 

Flexibility to work overtime as needed is required.
